Exporting OneNote Notebooks

I came across some problems recently when I wanted to migrate the contents from my university OneNote account (office 365 suite) to my local laptop. This is necessary as your account will be revoked when you leave the university. I am mainly using OneNote for Mac and Onenote Web. Here is how I deal with exporting OneNote notebooks. I created a OneNote notebook named "Test OneNote" for demonstration.

OneNote for Mac

Below is the notebook "Test OneNote" in OneNote for Mac app. You can create notebooks as you would normally do. To export your notebooks, go to File->Save As PDF (see below).

And then you would see a window popping up , where you need to specify the name of the file and where you want to export it. Click Save once you are done (see blow). As we can see, the default name of the file is the name of the first single page in your notebook. I tested a notebook with more pages and I found that i could only save one page each time in this OneNote for Mac app. This is the limitation of this app on Mac book.

OneNote for Windows

To find an solution to export my whole notebook at once, i also checked with OneNote for Windows. Below is an image showing the interface of OneNote for Windows.

To save this "Test OneNote" notebook, you need to go to "..." part in the up-right corner of the below interface and choose "Print" and then you will see the printing window popping up (see blow). In this window, you can specify which part you want to print out, including current page, section and notebook, which offers you a large degree of flexibility. Notice that you need to choose "Microsoft Print to PDF" in the Printer option if you want a PDF output. Choosing "OneNote" in the Printer option will only save your document in the notebooks of OneNote and you cannot get a PDF format in the end.

OneNote for Web

Some people also use OneNote for Web, though it is loading very slow, at least in my case. Below is the interface of OneNote Web. To print this notebook, you go to the "File" in the up-left corner.

And then you choose Print, which will give you a window to configure. In the "Printer->Pages", you only have two choices: all and custom. But you don't have the choice to print out the whole notebook as a PDF file.

Summary

After testing three different OneNote APIs: OneNote for Mac, OneNote for Windows and OneNote Web, I found that using OneNote for Windows can efficiently achieve your goal of exporting your notebooks to PDF files.

Issues

  1. Cannot see images and stretchers in the exported PDF files.

Generally speaking, both images and scratches are included when you export notebooks to PDF files. If that is not the case, make sure you synchronize your notebooks completely and you should be able to view the images and scratches in your OneNote API before exporting.
